ER-900 Model Guide

Raised-key models are generally a better fit for retail-style item, department and barcode entry. Flat programmable keyboards are commonly used for restaurant, bar, concession and other menu-driven workflows.

Common ER-900 Programming Help

Tax Programming

Tax problems can involve the programmed rate, item tax status or business rules that no longer match the register setup. Confirm the correct tax requirements before changing programming.

How to Change a Price on a SAM4S ER-900E Series Register

For ER-920E, ER-925E, ER-940E, ER-945E and ER-915E models, preset PLU prices are changed with Program 200 – PLU Price/HALO Programming in PGM mode. This procedure applies when the item is already configured as a preset-price PLU. If the PLU is configured as open price, Program 200 changes its high amount lock out (HALO) instead of assigning a fixed selling price.

1. Turn the Mode Switch to the PGM position.
2. Enter 200, then press SBTL.
3. Select the item. You can press its keyboard PLU key, scan the item, or enter the PLU number and press the PLU function key.
4. Enter the new preset price without the decimal point and press X/TIME. For example, enter 1299 for $12.99.
5. If the register has a second PLU price level allocated, enter the second-level price immediately afterward and press X/TIME again.
6. Repeat the item-selection and price steps for any additional PLUs, or press CASH to finish the program.

If the price will not program as expected: first confirm whether the PLU is preset or open. Program 100 controls that PLU status; Program 200 stores the preset selling price for a preset PLU, but stores the HALO for an open PLU. Older non-E ER-900-series models can differ, so confirm the exact model before using model-specific programming steps.

Departments, PLUs and Prices

The ER-900E Series uses PLUs for the role traditionally handled by departments. PLUs can be keyboard items, scanned items or numeric PLU entries, and can be configured for preset or open pricing.

Receipt Messages and Register Information

Business name, address, phone number, website and other receipt text can be programmed on supported ER-900 configurations.

Clerks, Keys and Tenders

Employee sign-on, function keys, department keys, discounts, refunds and tender keys can affect everyday cashier workflow.

X and Z Reports

An X report normally reads totals without clearing them. A Z report normally closes or resets a reporting period. Confirm the exact report and model behavior before running reset reports.

Before You Change ER-900 Programming

• Confirm the exact model number.
• Print important reports when appropriate.
• Record current taxes, PLUs, prices and receipt text.
• Change one setting at a time.
• Test a normal sale, receipt and report after changes.
• Do not initialize or clear memory unless you understand what will be erased.

ER-900 Supplies and Peripherals

Receipt Paper

Paper size and type depend on the exact printer configuration. Confirm the model before ordering supplies.

Shop receipt paper

Barcode Scanners

Scanner compatibility depends on the register model, available port, cable, scanner interface, barcode format and PLU programming. A USB or serial connector alone does not prove compatibility.

Cash Drawers

Drawer problems can involve the lock position, cable, drawer assignment, tender programming or hardware. Confirm the connection and register configuration before replacing a drawer.

Receipt Printers

External printer compatibility depends on the exact register and interface. Confirm support before ordering a replacement or remote printer.

Common ER-900 Problems

Tax Is Wrong

Review the tax rate and item tax status before changing multiple items.

Receipt Information Is Wrong

Check receipt header/footer programming, date, time and printer settings.

Item or Barcode Will Not Ring

Check the PLU, department, price, barcode record and entry method.

Cash Drawer Will Not Open

Check the lock, cable, drawer assignment, tender/no-sale function and hardware.

Scanner Beeps but No Item Appears

Confirm the scanner interface, cable, register port, scanner programming and matching PLU record.

Review the cash register troubleshooting guide, which covers symptom-by-symptom checks, error codes and what not to do before the cause is understood.

Support, Repair or Replacement?

Programming, supplies or peripheral setup may be enough when the register is otherwise reliable. Replacement becomes more attractive when printer hardware is failing, keys are worn, parts are difficult to obtain, reports no longer meet the business need or the checkout workflow needs inventory, customer tracking or touchscreen operation.

ER-900 Frequently Asked Questions

Are ER-900 programming steps the same on every model?

No. Models share concepts, but keyboard and printer configurations differ. Confirm the exact model before following instructions.

How do I change a preset price on an ER-900E?

Use Program 200 in PGM mode: enter 200, press SBTL, select the PLU, enter the new price without the decimal, press X/TIME, and press CASH when finished. If the PLU is open rather than preset, Program 200 sets its HALO instead.

Can I use a barcode scanner with an ER-900?

Some configurations support scanning, but compatibility depends on the exact register, port, cable, scanner setup and barcode/PLU programming. Verify the combination before purchasing.

Why is my ER-900 tax calculating incorrectly?

The programmed rate, item tax status or other tax settings may not match the intended business rules. Review the current configuration before making broad changes.

What is the difference between an X and Z report?

An X report generally reads totals without resetting them; a Z report generally closes or resets a reporting period. Exact behavior depends on model and programming.

When should I replace an ER-900?

Consider replacement when hardware is becoming unreliable, repair is no longer economical or the business needs capabilities beyond a traditional register.

Is the ER-900 series still available?

The current ER-900E models (ER-915E, ER-920E, ER-925E, ER-940E and ER-945E) are the ones we list as available to buy. Older non-E ER-920, ER-925, ER-940 and ER-945 registers are the earlier generation; the Replacement Center lists the matching E model for each, based on keyboard style and printer arrangement.

Can the programming from my older ER-900 be moved to a new register?

Do not assume it can. Taxes, departments, PLUs, keyboard layout, clerk setup and connected devices all affect what can be transferred and what has to be rebuilt, and that depends on the exact old and new model. Print your reports and note your current settings before you change anything.

The ER-900(E) PC Utility manual is in the manual center; whether a utility transfer applies to your exact pair of models is something we confirm with you before you order.

Can SAM4sDirect supply a replacement ER-900E programmed and ready to use?

Yes. On a current register page, choose Programmed & Ready and our team adds standard setup before it ships: typically tax rates, departments and PLUs, prices, clerks, keyboard layout and receipt header, plus a basic configuration review. Large item files, data transfers from an older register, unusual peripherals and other special work can need more time, which is quoted separately.

Is there help paying for a replacement register?

Eligible approved merchants may qualify for up to $500 in merchant-processing rebate value toward eligible equipment, programming, setup or approved switching costs. Qualification depends on processing volume, approval, program availability and the final package, and you do not have to change processors to buy a register.

How do I change a price on a SAM4S ER-900 register?

Price changes are model- and programming-mode specific. Confirm the exact ER-920E, ER-925E, ER-940E or ER-945E model before entering a programming sequence. Preserve the current program first, then use the procedure for that model to change the department or PLU price rather than following instructions for a different ER-900 variant.
