SAM4S Cash Register Error Codes & Display Messages

Use this guide to identify common SAM4S cash-register error codes and display messages, understand what the register is asking for, and decide what to do next. Always begin with the exact model number. A message can have a different cause or key sequence on another SAM4S family.

Before you press anything

  1. Write down the complete code or message exactly as displayed.
  2. Photograph the display and note what key or action caused it.
  3. Confirm the control lock is in the correct mode for the task.
  4. Press CLEAR once. If the message returns, do not keep repeating the same transaction.
  5. Do not initialize, RAM clear, memory clear or use service-mode reset procedures. Those actions can erase programming, totals or stored information.

Common SAM4S error codes and what to do

The ER-900 and several related SAM4S families use the following error names. Some models show an E-number, while others show only the message. Wording and availability vary by model, software version and programming.

E00 — SEQUENCE ERR

The last key was not allowed at that point in the transaction. Press CLEAR once, return the register to REG mode, and restart the action in the correct order. If it repeats, photograph the display and list the keys pressed immediately before the error.

E01 — PLU NO DATA ERR / NOT FOUND PLU

The entered PLU or scanned barcode is not in the item file. Confirm the barcode or PLU number, try a known item, and request PLU programming if the item is new. Do not replace the scanner merely because one item is not found.

E02 — CLERK ERROR

A clerk may not be signed on, the clerk entry may be invalid, or the requested operation may not be allowed for that clerk. Press CLEAR, sign on with the correct clerk key or code, and ask a manager if the clerk cannot sign on.

E03 — AMOUNT CNT ERR / AMOUNT COUNT OVER

The entry contains more digits than the programmed field permits. Check the amount for an extra digit or missing decimal, clear it and enter it again. A manager or programming change may be required for legitimate larger amounts.

E04 — LANTRAN ERR

The register could not complete communication with a connected LAN or payment device. Check that the device and network equipment have power and that cables are seated. Do not change communication settings without the exact configuration.

E05 — COMM ERROR

A scanner, printer, PC, payment device or other peripheral did not communicate correctly. Check power and cables, note which device was being used and retry only after the device is ready. If this occurred during a card sale, first confirm whether the terminal shows approved, declined or no transaction to avoid a duplicate charge.

E06 — TIME ERROR

The date, time or time-related entry is invalid. Confirm the displayed date and time and use the instructions for the exact model. Request programming help if the clock will not retain the correction.

E07 — OVER LIMIT ERR / LIMIT OVER

The amount exceeds a programmed high-amount lockout or operating limit. Verify the amount. If it is correct, an authorized manager may need to approve the transaction or change the programmed limit.

E08 — INACTIVE ERR

The selected key, PLU or function is disabled. Use the active key intended for the task or request programming help. Repeatedly pressing the inactive key will not clear the condition.

E09 — X MODE ONLY

The operation requires manager/X mode. Stop the transaction, use the authorized control key and follow the exact model procedure. Do not force the control lock or use service mode.

E10 — NON ADD ERROR

A required non-add reference number is missing or the entry is not valid at that point. Press CLEAR and enter the required reference using the configured #/NO SALE or non-add workflow.

E11 — ADD CHECK ERR

The add-check or guest-check operation is not valid for the current check. Confirm the correct check number and whether another clerk owns or has already closed the check.

E12 — CONDIMENT ERROR

A required modifier or condiment selection is missing or not allowed. Choose one of the programmed modifier choices for that item. If the correct choice is unavailable, the menu programming needs review.

E13 — REQ. EATIN FUNC.

The register is programmed to require Eat In, Take Out or Drive Thru before tendering. Select the correct service type and then complete the sale.

E14 — STOCK ERROR

The item has reached a programmed stock restriction or the stock operation is invalid. Confirm the item and quantity. A manager should review stock and PLU programming before overriding the condition.

E15 — DRAWER ERROR / REQ. DRAWER

Close the cash drawer completely and confirm the lock is in its normal operating position. Check the drawer cable and, for printer-driven drawers, confirm the receipt printer is powered on and ready.

E16 — REQ. GUEST #

A guest or check number is required. Enter or recall the correct guest-check number before continuing.

E17 — SCALE ERROR

Remove the item, confirm the scale is powered on, stable and at zero, and check the interface cable. Do not change the scale type, baud rate or port settings unless the exact configuration is known.

E18 — CLERK NO MATCH

The open transaction or check belongs to another clerk. Sign on as the correct clerk or ask an authorized manager to handle the check.

E19 — COMPULSORY TARE

The weighed item requires a tare. Remove the item, zero the scale and apply the correct programmed or manual tare before weighing again.

E20 — REQ. DECLARATION

Cash declaration is required before the report or closing operation. Count and enter the drawer using the model-specific cash-declaration procedure.

E21 — OFF LINE ERROR

A connected register, server, payment device or peripheral is offline. Check device power, network or serial cables and the affected device's status. Do not repeatedly retry a card transaction until its result is known.

E22 — REQ. ENDORSEMENT

The programmed transaction requires an endorsement step. Confirm the slip or endorsement printer is ready and follow the configured tender procedure.

E23 — CONSOL OVER

The consolidated check or transaction has reached a programmed capacity. Finish, print or close the existing operation before adding more items. Contact support if the check cannot be recovered safely.

E24 — REQ. SUBTOTAL

Press SUBTOTAL before tendering or performing the requested function.

E25 — PROMO ERROR

The promotion is not valid for the selected item or at that point in the transaction. Clear the promotion and confirm the item and programmed promotion rules.

E26 — CHECK OPEN ERR

The guest check is already open, cannot be opened by the current clerk, or conflicts with the requested operation. Recall the correct check and verify its clerk and status.

E27 — REQ. PASSWORD

The function requires an authorized password. Ask the manager or system administrator. Do not repeatedly guess the password.

E28 — NO VOID PLU

The PLU is programmed not to allow this void operation. Stop and ask an authorized manager to review the transaction and item programming.

E29 — REQ. PORT SETUP / 232C SETUP ERROR

The required serial port is not configured for the connected device. Record the register model, port number, peripheral model and cable. Request setup help rather than guessing device type, baud rate, parity or other communication settings.

E30 — REQ. PRESET VALUE

The function requires a programmed preset value. Use the configured preset key or request programming if the expected value is missing.

E31 — REQ. OPEN VALUE

The item or function requires an amount to be entered manually. Enter the correct amount before pressing the item or function key.

E32 — REQ. AMOUNT

Enter the required amount before continuing with the selected function.

E33 — REQ. PAYMENT

The open guest check or transaction requires a tender/payment operation before it can be closed.

Common message: CLOSED

On SPS-300, NR-500E/NR-510 and ER-260EJ/ER-265EJ families, CLOSED commonly means no clerk is signed on. Put the register in the intended operating mode and sign on using the clerk key or code configured for that register. If the clerk was already signed on or the code is rejected, request support rather than changing clerk programming during business hours.

Printer, paper and cash-drawer symptoms

Not every problem appears as an E-number. If the register will not print, confirm the correct thermal-paper width, paper direction, cover closure and that no scraps are blocking the sensor. If the drawer will not open, check the lock position, cable, tender key and printer status. Do not pry the drawer or open the register cabinet.

Stop and contact support when

  • The same error returns after one CLEAR and a correct retry.
  • The register is stuck during a payment or the card transaction result is uncertain.
  • A memory, boot, firmware, battery or service-mode message appears.
  • Programming, items or totals appear to be missing.
  • A printer, drawer, scanner, scale or payment device remains offline.
  • The only suggested procedure involves initialization, RAM clear or memory clear.

Error codes & display messages

Start with the exact SAM4S model.

The same-looking message can mean different things on different register families. Choose the model family first, then use only the error information published for that family.

Protect the programming and sales data. Do not perform an initial clear, RAM clear, memory clear, program clear, initialization or factory reset as a first troubleshooting step. Those procedures can erase programming or sales data.

Check the front label, manual cover, service sticker, keyboard sheet, receipt header or the label on the back/bottom. A photo is useful if the model number is hard to read.

Routed, not a code table

Payment or terminal communication

A decline, a terminal that stops responding, or a station that loses communication is usually not a register error code. It depends on the processor, the payment device, the network and the software version, and the exact message matters.

Safe first checks only. E14 (EJ full) and E16 (Z report required) are resolved by taking the appropriate report - take and keep the report before clearing anything, because clearing removes the sales data. E21 is a thermal print head cooling protection and clears on its own once the printer cools. PER means the receipt paper roll has run out. Do not advise an initial clear, memory clear or initialisation for any of these codes: the manual notes an initial clear may be necessary as part of servicing, and it is destructive to programming and data.

CUSTOMER-SAFE - PRINTER AND PAPER
40 NO PAPER / 50 PAPER END / 212 PAPER END - the roll has run out. Fit a new roll of the correct width.
213 PAPER NEAR END - roll is nearly out. Have a replacement ready.
211 COVER OPEN - close the printer cover fully until it latches.
52 REMOVE PAPER - clear the paper the printer is waiting on.
24 ERROR JAM - the manual defines this as a receipt or journal printer jam. Open the cover and clear the jam carefully.
215 AUTO CUTTER JAM - clear the obstruction at the cutter.
214 TPH TEMPERATURE IS HIGH - the manual states this appears when the print head surface reaches 140F. It says powering the register off is NOT necessary and that opening the printer cover is more effective, and that in normal use this should not persist. It also warns that if liquid has been spilled on the printer the sensor may misread the temperature, and that a spill needs a qualified service technician. Treat a persistent or post-spill occurrence as a service call.
216 PRINTER BUFFER FULL / 151 PRINTER OFFLINE / 115 LOCAL PRINTER REQUIRED - check the printer is powered, connected and online.
114 ERROR - SLIP PAPER - slip printer paper condition.
31 KITCHEN PRINTER FAILURE - remote kitchen printer is not responding; check power, cable and that the printer is online.

CUSTOMER-SAFE - EVERYDAY OPERATION
Most of the table is compulsory-entry prompts rather than faults. Examples with manual definitions: 3 AMOUNT REQUIRED, this operation requires an amount entry. 4 BAD VALUE, the number entered is incorrect for the task. 22 ENTRY REQUIRED, the function needs a numeric entry. 26 HALO OVER, the amount exceeds the programmed high-amount-lock-out limit. 27 ILLEGAL KEY SEQUENCE, the operator used an illegal key sequence. 19 ENTER GUEST COUNT, 20 ENTER SEAT#, 21 ENTER TABLE#, 12 CHECK# REQUIRED, 13 CONDIMENT REQUIRED, 16 EAT IN/TAKE OUT/DRIVE THRU, 17 ENTER EMPLOYEE CODE - all compulsory entries the register has been programmed to demand. 9 CASH DECLARATION REQUIRED, declaration is programmed compulsory before reports. 10 CASH-IN-DRAWER EXCEEDED, the programmed cash-in-drawer limit is exceeded. 28 IN USE, the guest check or clerk is already open elsewhere. 15 DUPLICATE, the check already exists. 11 CHECK# ASSIGNED AUTO, the register generates its own check numbers.

BUFFERS AND REPORTS - TAKE THE REPORT, DO NOT CLEAR MEMORY
5 BUFFER FULL - the manual explains the operator presses SERVICE to print and clear a hard-check buffer, then picks the balance up again; for soft checks the sale must be finalised.
34 MEMORY FULL / 86 MEMORY NOT ALLOCATED / 134 EJ BUFFER FULL / 147 ELECTRONIC JOURNAL INACTIVE / 87 THIS EMP. RPT MUST BE CLEARED - these are resolved by taking and keeping the appropriate report before clearing it. Print or save the report first, because clearing removes the data.

COMMUNICATIONS, MEDIA AND PAYMENT
7 BUSY - the manual defines this as the destination register being busy, for example polling or processing credit.
14 CRC ERROR - block checksum error while transferring data in IRC mode.
