Which registers can use a scanner?

Every current SAM4S register we sell except the entry-level ER-180U, whose manual documents no peripheral scanner port. Which scanner, and over which port, is the part that varies by model.

USB or serial?

The ER-260EJ, ER-265EJ, NR-510BE and NR-510RBE document a USB port for a scanner. The ER-900E and SPS-300 families are documented for RS-232 serial instead, so those take a serial reader and a serial cable chosen for the exact port.

Do I need 1D or 2D?

Ordinary shop barcodes are 1D. A 2D reader also reads codes such as QR and Data Matrix. Either way the register stores the same kind of item record, so 2D changes what you can read, not what the register can do with it.

Does it have to be programmed?

Yes, on both sides: setup barcodes on the reader, and the register’s port set to scanner mode. Standard programming and setup are included with this register.

"Documented" means the pairing is recorded, not that it is plug-and-play: the port still has to be set to scanner mode and the reader still has to be programmed. Where a column reads "Confirmed per order", the register scans but the exact reader and cable are settled with you before the order ships.

1D or 2D?

1D The ordinary retail barcode: UPC and EAN, the striped label on packaged goods. This is what most shops scan all day.
2D Adds square codes such as QR and Data Matrix, where the scanner supports them. Useful if you also handle coupons, loyalty codes or labels printed as 2D.

Keep the two halves separate. The scanner decides which symbols can be read. The register decides what can be stored against them, and that is the item file, the price levels and the reports on the model’s own page. A 2D reader does not give a cash register any capability it did not already have.

How a scanner reaches the register

Every scan follows the same four steps. What differs between families is the middle one.

  • USB route ER-260EJ, ER-265EJ, NR-510BE, NR-510RBE. The scanner plugs into the register’s USB port and draws its power from it. No separate power supply.
  • RS-232 serial route ER-915E, ER-920E, ER-925E, ER-940E, ER-945E, SPS-320, SPS-340, SPS-345. The scanner connects to a serial port that has to be set to scanner mode, and the cable has to match that exact port — on the ER-900E, COM 1 and 2 are DB-9 while COM 3 and 4 are RJ-45 on the same machine. Serial ports supply limited power, so a serial reader is supplied with its own.

The manufacturer setup guide publishes no cable part number, so we will not sell you one blind. Tell us the register model and the port you intend to use and we confirm the cable before anything ships.

Two things are easy to confuse. A manufacturer datasheet tells you what a scanner is. It does not tell you that it works with a SAM4S register, and that is the part that decides whether your morning goes well.

        The scanner question only has a real answer once we know the register. A few steps, and you will get either a package you can buy or a short list of what we need to confirm.

        What this asks you

        1. Your business type — retail, food service, liquor, convenience, grocery or a service counter. It decides which registers are worth showing.
        2. The register — raised-key suits item and barcode entry; flat keyboards suit menu-driven ordering.
        3. Barcode scanning — including whether you already own a scanner we should check.
        4. Printing — the receipt printer, the second built-in station, an external receipt printer and a kitchen printer are four different things, and only the last one prints in a prep area.
        5. Other peripherals — a cash drawer is already included with every current register we sell, so it is listed, not sold to you again.
        6. Programming — departments, items, taxes, clerks, tenders and menu keys, quoted before any work starts.
        7. Card processing — optional. You do not need to change processors to buy a register from us.

        At the end you get one of three answers: a package you can buy, a package to configure, or verification required — which means one part of the combination is not proven yet and we will confirm it before you spend anything. We would rather tell you that than sell you a scanner that turns out not to talk to your register.

        Which SAM4S cash registers work with a barcode scanner?

        All of the current models we sell except the entry-level ER-180U. The ER-260EJ, ER-265EJ, NR-510BE and NR-510RBE document a USB port for a scanner. The ER-915E, ER-920E, ER-925E, ER-940E, ER-945E, SPS-320, SPS-340 and SPS-345 are documented for RS-232 serial peripheral connections instead. The ER-180U documents no peripheral scanner port, so it is the one register we will not sell with a scanner.

        Which scanner should I buy for my register?

        Match the interface first. A USB register takes a USB reader and powers it from the port; a serial register takes an RS-232 reader with its own power supply and a cable chosen for the exact port. The comparison table on this page names the scanner we pair with each register where our catalogue records a confirmed combination, and says “confirmed per order” where the reader and cable are settled with you before the order ships.

        Should I buy a 1D or a 2D barcode scanner?

        1D covers the ordinary retail barcode, UPC and EAN, which is what most shops scan all day. 2D adds square codes such as QR and Data Matrix. Buy 2D if you also handle coupons, loyalty codes or labels printed as 2D. The register stores the same kind of item record either way, so 2D changes what can be read, not what the register can do with it.

        How does a barcode scanner connect to a cash register?

        Either into a USB port or into an RS-232 serial port, depending on the model. Serial is the part that catches people out: on the ER-900E family, COM 1 and COM 2 present a DB-9 connector while COM 3 and COM 4 present RJ-45 on the same machine, and the manufacturer’s scanner cable diagram uses the RJ-45 route with a crossover. A standard DB-9 serial scanner cable will not fit the port the guide tells you to use. No cable part number is published, so we confirm the cable for your register and port before anything ships.

        How many barcoded products can a cash register hold?

        It varies widely by model, from 500 items on the ER-180U to 8,000 on the ER-260EJ and ER-265EJ, over 19,000 on the SPS-300 models and up to 22,000 on the ER-900E models. Those are the figures published for each register and the ones in the table above. Capacity is shared with other memory areas on some models, so treat the headline number as the qualifying figure rather than a guarantee about one specific configuration.

        Does barcode scanning need programming?

        Yes, on both sides. The reader is configured with the manufacturer’s setup barcodes for a SAM4S register, and the register’s port is set to scanner mode with matching communication settings. Then each barcoded item needs a record in the register: the barcode number, a description, a price and its department and tax assignment. Scanning an item the register does not hold will not ring it up.

        Can you program the register before it ships?

        Yes. Standard programming and setup are included with this register. Tax, departments, items, prices, clerks, keyboard layout and receipt details are set up with your register. Custom work beyond the standard setup is quoted separately. Send the item list in whatever form you have it, with the barcode, description, price and the department or tax each item belongs to. The included 90 days of support afterwards covers normal operation and correcting the programming we supplied; it is not unlimited data entry or unlimited reprogramming, so a large or ongoing item build is quoted rather than assumed.

        Can a register with a scanner also take card payments?

        On most of these models, yes, and it is a separate decision from the scanner. Integrated processing sends the sale total from the register to the card terminal, and the comparison table shows which models offer it and which we confirm first. You can also buy any register here and keep your current processor and terminal.

        What does a complete cash register and barcode scanner package cost?

        The packages at the top of this page show the current total for each confirmed combination: the register, the scanner in the exact configuration that fits it, and standard programming and setup included. Prices there are live, so what you see is what it costs today.

        Can I use the barcode scanner I already have?

        Often, yes. Send the make and model, how it connects and a photo of the plug, along with your register model. We will tell you whether it can be programmed to work, what cable it needs, and whether anything has to change — before you spend anything.

        Do I need a cash register or a POS system for barcode scanning?

        A cash register scans, looks up the item and prints a receipt, and it does that without an internet connection. A POS system adds screen-based ordering, deeper inventory and reporting, and staff and customer records. If scanning and a solid item file is the whole requirement, a register is usually the cheaper and simpler answer.
