Cash Registers With Barcode Scanners

Most SAM4S registers can scan. The question is never really "does it scan" — it is whether a particular scanner will talk to a particular register, over a particular cable, once both sides are programmed.

A connector that fits proves nothing. On the ER-900 and ER-900E, COM 1 and 2 are DB-9 while COM 3 and 4 are RJ-45 on the same machine, and the scanner cable is documented RJ-45 to RJ-45 with a crossover. A standard DB-9 serial scanner cable simply will not fit the port the guide tells you to use.

Which registers work with a barcode scanner?

Every current SAM4S register we sell can take a scanner, but they do not all take the same one, and the port matters as much as the model:

  • ER-915E, ER-920E, ER-925E, ER-940E, ER-945E, SPS-320, SPS-340 and SPS-345 are documented for RS-232 serial peripheral connections. On these, the cable and the port are the things to get right.
  • ER-260EJ, ER-265EJ, NR-510BE and NR-510RBE list USB among their interfaces, so a USB scanner is worth considering on those.

That is a starting point for a conversation, not a compatibility claim. Nothing on this page says a specific scanner is confirmed with a specific register unless we have confirmed it.

Do I need a special cable?

Usually, yes, and it is the part that most often turns out to be wrong. The cable has to match the port on the register, not just the scanner, and on a register with both DB-9 and RJ-45 serial ports those are two different cables. Where the manufacturer guide does not publish a part number, we confirm the cable before you order rather than guess.

Can I use the barcode scanner I already have?

Often. Send us the make and model, how it connects, and anything you know about the cable — a photo of the plug is genuinely useful — along with your register model. We will tell you whether it works, what it needs, or that it will not do the job. That last answer is free and saves you buying an adapter that was never going to help.

Does the scanner need programming?

Nearly always, on both sides. The scanner is configured with setup barcodes from its own guide, and the register's port has to be set to scanner mode with matching communication settings. Then the barcodes themselves have to exist as items in the register, because a scanner that reads a label perfectly still needs a matching PLU to ring anything up.

A scanner that beeps but rings nothing is almost always this, not a broken scanner.

Two things are easy to confuse. A manufacturer datasheet tells you what a scanner is. It does not tell you that it works with a SAM4S register, and that is the part that decides whether your morning goes well.

A register listed here means the pairing is documented, not that it is plug-and-play. Port programming, baud settings and the correct cable still have to be right.

The scanner question only has a real answer once we know the register. A few steps, and you will get either a package you can buy or a short list of what we need to confirm.

What this asks you

  1. Your business type — retail, food service, liquor, convenience, grocery or a service counter. It decides which registers are worth showing.
  2. The register — raised-key suits item and barcode entry; flat keyboards suit menu-driven ordering.
  3. Barcode scanning — including whether you already own a scanner we should check.
  4. Printing — the receipt printer, the internal journal station, an external receipt printer and a kitchen printer are four different things, and only the last one prints in a prep area.
  5. Other peripherals — a cash drawer is already included with every current register we sell, so it is listed, not sold to you again.
  6. Programming — departments, items, taxes, clerks, tenders and menu keys, quoted before any work starts.
  7. Card processing — optional. You do not need to change processors to buy a register from us.

At the end you get one of three answers: a package you can buy, a package to configure, or verification required — which means one part of the combination is not proven yet and we will confirm it before you spend anything. We would rather tell you that than sell you a scanner that turns out not to talk to your register.
